What to do

Capture a credit note as its own document, keeping its number, the invoice reference it adjusts, and the printed amount. Preserve the document type and raw sign convention. Do not turn a positive-looking credit amount into a new payable invoice.

A credit note can show a reduction using its title rather than minus signs on every amount.

Two worked review cases

These cases are fictional teaching data, not measured extraction results. Use the source excerpts to practise deciding what belongs in the reviewed output.

Suggested review columns

ColumnDefinition or instruction
Credit note numberIdentifier labelled for this credit document.
Original invoice referencePrinted reference to the invoice being adjusted.
Credit amount and notationAmount exactly as printed, with currency and any sign.

These are suggested staging-sheet columns. Printed facts can inform field descriptions in Parzable’s Schemas view; source references, review statuses, and decisions must be supplied by your own review process.

A practical review sequence

  1. Read the document title before applying an invoice schema.
  2. Store the adjustment reference separately from the credit-note identifier.
  3. Confirm the destination’s sign and adjustment rules before importing.

Errors to avoid

  • Do not negate an amount twice when the source already uses a minus sign.
  • A credit note is not evidence that a refund has already been paid.

Use the case worksheet with a small sample

Download this page’s worked-case worksheet. It contains the two fictional cases above and a blank row for your own review exercise. Keep any real source documents in your agreed storage process.

For the broader product workflow, see the related guide. Parzable accepts PDF/image inputs and downloads CSV. Suggested structures here are review targets; nested item rows, automatic approvals, and destination integrations are not guaranteed.
