What to do
A supplier statement can summarize invoices, credits, and payments already represented by other documents. Identify its title and row roles before treating every listed amount as a new invoice. Keep statement balances separate from individual transaction values.
An opening balance and closing balance are not additional purchased items.
Two worked review cases
These cases are fictional teaching data, not measured extraction results. Use the source excerpts to practise deciding what belongs in the reviewed output.
| Case | Fictional source excerpt | Review decision |
|---|---|---|
| Already represented | Statement lists INV-11 100.00 and payment 100.00; balance zero | Do not create another 100.00 invoice from the statement balance summary. |
| Unknown invoice | Statement lists INV-12 but source invoice is absent | Request the missing invoice or route to review rather than inventing its detail. |
Suggested review columns
| Column | Definition or instruction |
|---|---|
| Document type | Printed title identifying a statement or invoice. |
| Statement period | Printed start and end dates for the summary. |
| Referenced transactions | Listed invoice, credit, and payment references with their row labels. |
These are suggested staging-sheet columns. Printed facts can inform field descriptions in Parzable’s Schemas view; source references, review statuses, and decisions must be supplied by your own review process.
A practical review sequence
- Identify the source type before including it in an invoice batch.
- Compare listed references with the actual source-document register.
- Reconcile statement-level information in a separate review worksheet.
Errors to avoid
- Do not sum opening balance, listed charges, and closing balance as new spending.
- A statement reference does not establish missing line-item detail.
Use the case worksheet with a small sample
Download this page’s worked-case worksheet. It contains the two fictional cases above and a blank row for your own review exercise. Keep any real source documents in your agreed storage process.
For the broader product workflow, see the related guide. Parzable accepts PDF/image inputs and downloads CSV. Suggested structures here are review targets; nested item rows, automatic approvals, and destination integrations are not guaranteed.
