What to do

Record whether the document requests a deposit, acknowledges one, or applies a deposit to a final invoice. Those are different source roles. Preserve references between documents and retain the final total and remaining amount separately when both are printed.

The presence of the word Deposit does not by itself prove money has been received.

Two worked review cases

These cases are fictional teaching data, not measured extraction results. Use the source excerpts to practise deciding what belongs in the reviewed output.

CaseFictional source excerptReview decision
Deposit requestedDeposit invoice DEP-9; amount requested 200.00Capture a request; do not assert that it was paid.
Deposit appliedFinal total 700.00; deposit received 200.00; due 500.00Keep the applied deposit separate from the full final value.

Suggested review columns

ColumnDefinition or instruction
Document rolePrinted wording identifying deposit request, receipt, or final invoice.
Deposit amountAmount explicitly labelled as deposit, with its sign.
Related document referencePrinted link to the order or final invoice.

These are suggested staging-sheet columns. Printed facts can inform field descriptions in Parzable’s Schemas view; source references, review statuses, and decisions must be supplied by your own review process.

A practical review sequence

  1. Identify the document’s role from its title and summary wording.
  2. Preserve related references so the same deposit can be traced across documents.
  3. Confirm the destination’s approved handling before combining deposit and final records.

Errors to avoid

  • Do not count an applied deposit as an additional final charge.
  • Do not treat an unlabelled deduction as a confirmed deposit.

Use the case worksheet with a small sample

Download this page’s worked-case worksheet. It contains the two fictional cases above and a blank row for your own review exercise. Keep any real source documents in your agreed storage process.

For the broader product workflow, see the related guide. Parzable accepts PDF/image inputs and downloads CSV. Suggested structures here are review targets; nested item rows, automatic approvals, and destination integrations are not guaranteed.
